If you’ve already spoken with us and received a quote for your tax preparation services, please follow the steps outlined below for a standard tax engagement.

STEP 1

If you’re a new client, we kindly ask you to fill out our contact form below to get started.

STEP 2

Every year, for each engagement and client, RvirtualTax sends out an electronic Engagement Letter for review and e-signature through Adobe Document Cloud, based on the details provided in the New Client Interview Form

New clients generally receive their Engagement Letter within 5 business days after submitting the New Client Onboarding Form.

Returning clients typically receive their Engagement Letter for the new tax year by January 20th, following the end of the tax year.”

STEP 3

If you’re a new client, once you sign your first Engagement Letter, you’ll automatically receive an invitation to set up your login for the Client Portal, accessible through our website.

STEP 4

RvirtualTax offers a detailed ONLINE Tax Organizer for clients to complete, along with instructions for uploading relevant tax documents to the Client Portal. If you’re unsure which tax organizer to use, please check your Engagement Letter or reach out.

IMPORTANT DATES – When to Submit Tax Organizers and Upload Documents:

The IRS typically begins processing tax returns at the end of January each year. We recommend that clients complete their tax organizers and upload all necessary documents as early as possible in the tax season. Filing early not only helps you receive any refunds sooner but also reduces the risk of identity theft and fraudulent tax filings, as the IRS only accepts the first e-filed return—whether legitimate or fraudulent.

  • For Individual Tax Returns: Submit tax organizers and upload documents as early as January 20 and no later than March 31.
  • For Partnership and Corporation Tax Returns: Submit tax organizers and upload documents as early as January 20 and no later than February 28.

TAX EXTENSIONS:

Starting in February, RvirtualTax will file “zero-tax-due” Tax Return Extensions for all onboarded clients as a precautionary measure. This ensures compliance in case any clients submit their tax information late. Tax returns with information submitted after the deadlines above will be completed after the April 15 deadline. Please note that taxpayers may face penalties on unpaid taxes and interest for late filings.

Even with an extension, any taxes owed must be paid by the original tax deadline to avoid late payment penalties and interest. If you anticipate delays in submitting your tax information and owe taxes, please contact us. We can prepare a custom Tax Return Extension voucher for you to mail your payments to the IRS and/or State DOR.”

STEP 5

Once we receive your completed tax organizer and all relevant tax documents uploaded to your folder in the client portal, your tax return is added to our preparation queue and will be processed in the order it was received.

Please Note: The wait time between submitting your tax organizer and documents and our initial review of your file can be up to two weeks, especially as the tax deadline approaches. To avoid delays, we recommend answering all questions in the tax organizer thoroughly and uploading all required documents in one go, as early as possible.

Once your tax return is prepared and ready for your review and signature, we will email you an electronic invoice. Please pay the invoice online at your earliest convenience.

STEP 6

Once your invoice payment is received, we will send you a secure link through Adobe Document Cloud. This link will allow you to review your completed tax return, ask any questions, and provide your e-signature.

STEP 7

If applicable, RvirtualTax will electronically file your tax returns with the IRS and State DOR.

Please Note: In certain cases, local tax forms (City and/or County) may need to be filed. While we will prepare these forms for you, many municipalities do not participate in the e-file program, so we may not be able to e-file them on your behalf. In such instances, we will provide you with the completed forms and instructions for mailing or filing and paying online directly.

STEP 8

Once the IRS and State accept your e-filed tax returns, we will prepare and upload the Final Client Copy of your return, the E-File Confirmation Letter, and any additional forms that may require further action (e.g., signing, mailing, etc.) to your Client Portal. We will also email you detailed instructions outlining which files have been uploaded and what steps you need to take for each.
